Payroll Accountant for Fathom Holdings, Inc.

Position Title:  Payroll Accountant

Summary

Manage the corporation’s payrolls for multiple entities in multiple states. Prepare and ensure that weekly Fathom has multiple companies, has approximately 320 employees, and is planning rapid growth. Employees are currently located in 30 states across the US. We have an immediate need to hire a regular full-time Payroll Accountant to work in our Cary, NC office. We use Paychex for our multi-entity payroll (9 separate payrolls) with weekly and bi-weekly payroll runs. We need someone equally strong in payroll and accounting who is comfortable working in a fast-paced environment. Manage the corporation’s payrolls for multiple entities (9) in multiple states (30+). Prepare and ensure that weekly and bi-weekly payrolls are processed on time, accurately, and in compliance with government regulations. Use Paychex payroll system. Maintain records and ensure tax payments are made. Prepare journal entries and do accruals. Analyze payroll data; make recommendations and solve issues based on findings. Create complex reports to provide to HR and Finance teams on a regular and ad hoc basis. Individual contributor position that has primary and full responsibility for running payroll as a one-person payroll department.

Minimum Qualifications

  • Bachelor’s degree in accounting, business administration, human resources, or related field.
  • Five years of experience running payroll for a company, including at least 3 years of primary responsibility for the payroll.
  • W-2 review and preparation experience is essential.
  • General accounting experience.
  • Experience using Paychex preferred.
  • Experience working on the payroll in a publicly-traded company preferred.

Knowledge, Skills, and Abilities

  • Bachelor’s degree in accounting or related field or equivalent experience.
  • Minimum 5 years of experience running payroll for a company, including at least 3 years of primary responsibility for the payroll.
  • Minimum 3 years of general accounting experience that includes payroll accounting.
  • Strong knowledge of payroll processes, practices, and laws, including preparation, balancing, internal control, and payroll taxes.
  • Strong knowledge of payroll systems. Paychex experience is a plus.
  • Strong understanding of time and attendance process, including manager reviews and completeness before payment.
  • Good skills with general ledger, journal entries, and reconciliations.
  • Good skills in creating reports in a payroll system.
  • Strong Excel skills with the ability to download reports, manipulate, create formulas, and prepare for presentations.
  • Strong analytical and problem-solving skills.
  • Ability to do various setups in payroll such as deduction and earning codes, automatic monthly earnings, deductions, etc.
  • Ability to work collaboratively and effectively with both internal and external parties related to payroll.
  • Ability to work with all levels of employees.
  • Highly organized and keen attention to detail.

Essential Functions

  • Prepare accurate weekly and bi-weekly payrolls on a timely basis.
  • Ensure that payroll data is properly approved.
  • Implement, maintain, and review payroll processes and systems to ensure timely and accurate processing of payroll transactions, including compensation, benefits, garnishments, taxes, and other deductions.
  • Ensure compliance with federal, state, and local payroll, wage and hour laws, and best practices.
  • Proactively collaborate with HR and Finance staff on payroll matters.
  • Proactively collaborate with company leaders on payroll matters.
  • Collaborate with payroll system provider representatives regularly; ensure that the payroll company does filings.
  • Run and prepare payroll-related reports.
  • Analyze payroll data and prepare detailed reports using payroll system reports and creating Excel spreadsheets.
  • Oversee tax withholding calculations on equity compensation vesting transactions and assist in reconciling sell-to-cover transactions to E*Trade, bank, and payroll reports.
  • Inform HR leader immediately of concerns and challenges.
  • Facilitate audits by providing records and documentation to auditors.
  • Reconcile benefits insurance bills.
  • Prepare journal entries for payroll and track inter-company charges as necessary.
  • Assist with payroll bank reconciliations.
  • Assist with HR matters during slow payroll periods.
  • Other projects and initiatives as required.

Preferred Additional Skills

  • Experience working in a publicly-traded company preferred.
  • Experience using Paychex preferred.

Working Hours and Location

  • This role will physically be at our Cary, NC headquarters.
